Traffic Manager

As SPARK’s Traffic Manager you’ll oversee and manage all agency resource allocations and help pave the way for great work by identifying and maximizing resources based on current (and future) needs. With your active support, our teams (creative, studios, social media and media) will understand the capabilities (and limitations) of our agency resources at all times and will have the details they need to get the work completed and delivered on time. Clear and consistent communication is critical, as you have a constant pulse on the agency at all times. You are familiar with all team workloads, needs, and skills and are aware of all project schedules. You predict where freelance resources are needed and assist with securing top talent. In partnership with the brand team and operations team, you’ll track staff utilization and budget burn rates to help ensure the integrity of our budgets and profitability of our projects. You’ll consistently prioritize ways to get work delivered and help the agency be productive and successful.

The Basics

3-5 years experience working with a creative project management system
Workamajig strongly preferred, similar tools considered
Even-keeled, assertive, proactive and resourceful multi-tasker with a knack for delegating
Calm under pressure with meticulous attention to detail when working under pressure, with the ability to execute against tight/shifting deadlines

Project Management

·       Reviews all incoming project requests for necessary details/specs

·       Partners with brand team to own internal SPARK projects and new business opportunities

o   Confirms that SPARK is treated as a priority client

·       Approves or rejects incoming requests, communicating with the requestor to rectify as needed

o   Communicates with brand managers/requestors for additional details as needed and adjusts incoming requests

·       Confirms consistent campaign and project setup, structure and nomenclature in Workamajig

o   Reviews critical billing and project setup details and points out/manages update needs

·       Creates new projects, adds teams, builds schedules and assigns/reassigns resources

o   Adjusts schedules as deadlines and deliverables shift

o   Receives necessary approval on schedules from key stakeholders

o   Sets up necessary project reminders/meetings and checks in with resources daily to confirm that creative will be delivered on time

·       Creates project estimates and routes for approval with input from the brand team and internal service teams

o   Follows up on unapproved estimates

o   Ensures that necessary change orders are processed and documented

o   Confirms necessary signed estimates and supporting documentation is uploaded and stored in correct locations

·       Communicates available/new projects for logging time and any special instructions

·       Confirms that all projects follow our internal processes, including proofing and internal/external approval steps

o   Confirms that all necessary approvals are received and documented

Resource Management & Training

·       Maximizes resource allocation by identifying lulls in schedules and proactive opportunities with clients and new business contacts

·       Actively recruits freelance talent and maintains roster/portfolios

·       Acts as a cheerleader and celebrates project wins, in a big way

o   Shares success with agency and cheers on their team!

·       Partners with Operations Director to design and implement system training plans

o   Ensures that follow up tasks and homework/quizzes are complete

·       Identifies training opportunities and suggests optimal solutions


·       Ensures accurate and timely time entry in WMJ by pulling and assessing time tracking reports

·       Partners with Operations Director and Finance Manager to monitor burn reports and capture status updates

·       Pulls and delivers assignment reports

·       Monitors deliverables reports, nudging approvers as required

·       Builds and monitors traffic calendars and staff schedules in WMJ

·       Assists with pulling, assessing and delivering monthly utilization reports

Traffic/Deliverables Management and Quality Control

·       Manages project deadlines, confirming that final assets are delivered on time and according to specs

o   Assists the brand/media/social team with trafficking of digital assets

§  Flags issues with sizing and deviates from the process/request

·       Assists with managing the creative proofing process, ensuring that deliverables are being reviewed/approved on time

·       Ensures that all spec information and deliverables are clearly communicated and documented on projects, and that necessary team members are aware of their location (and any changes)

·       Leads weekly traffic meeting and daily creative jams, ensuring that all meetings stay focused

o   Communicates operational bottlenecks to Operations Director

Additional Support

  •       Partners with operational team members to move agency and department-specific initiatives forward

    o   Internal recognition initiatives/SPARK events support

    o   Financial initiatives and process improvement/training

Experience & Qualities

·       3-5 years experience working with a creative project management system

o   Workamajig strongly preferred, similar tools considered

·       Calm under pressure with meticulous attention to detail when working under pressure, with the ability to execute against tight/shifting deadlines

·       Masterful time manager and organizer of competing priorities

o   Partners with internal teams to identify solutions when faced with challenging deadlines

·       Highly collaborative team player who likes to share their opinion/solutions with others

·       Strong decision-maker with proven problem-solving skills

·       Excellent written, verbal communication skills as well as the ability to rally, delegate and manage people (and processes)

·       Proficiency with reviewing/analyzing numbers

o   Possesses the ability to proof documents, with an eagle-eye for detail

·       Exposure to project management and digital asset tracking practices

·       Highly computer literate with capabilities in general email tools, spreadsheets and the Google suite

·       Knowledge of design resources and previous traffic experience, in an agency or corporate /in-house creative department

·       3-5 years of agency experience, or experience within a marketing organization

·       Bachelor’s degree in Marketing/Operations or related preferred
