Controller

SPARK is seeking a Controller who is a natural communicator, self-directed, highly organized, collaborative and detail-oriented in managing the financial, accounting, and various general operating activities. You will be responsible for financial reporting, financial analysis, payroll, forecasting, accounts payable, accounts receivable, pricing, and project management. This professional thrives in a dynamic work place, and is well-versed in working with a variety of disciplines at the agency, along with the Partners to support agency decision-making. 

This is a hybrid role requiring on-site 2 days/week or as needed for the work.

The Basics

5+ years of experience in a controller, senior finance, or financial management role
Bachelor’s Degree in Finance or Accounting
Trustworthy and manages confidential/sensitive information

Financial Reporting & Forecasting

  • Manage the production and distribution of a monthly financial package on the agency’s financial performance, key metrics, and the short-term/long-term forecast
  • Provides ad hoc weekly, monthly, quarterly, and annual reports to agency leadership upon request
  • Monthly collaboration with department heads to review the financial performance and the needs of the department; Collaborate on actionable next steps with department heads as needed
  • Maintain a fiscal year forecast with projected year-end metrics so that appropriate operating decisions can be made
  • Provides ad hoc reports (inclusive, but not limited to, banks, government entities, and clients) to approved external users upon request
  • Complete monthly bank account reconciliations
  • Participate in monthly reviews of project and client performance with project leads and operations team to identify estimate optimization opportunities for the future 
  • Provides proactive solutions for financial management
  • Preparation and maintenance of “audit ready” financial statements as well as supporting reports for approved external users
  • SPARK VENTURES LLC support – bookkeeping, tax preparation, bank support, insurance, general administrative support 

Agency Rates and Pricing Strategy

  • Analyze and evaluate the current agency rates on a quarterly basis and make recommendations to agency leadership on rate updates based on staffing levels, raises, and overall operating costs
  • When rates are updated, work with the operations, brand, creative, media, social, and studios teams to ensure new rates are shared in a consistent and clear manner and that all estimate templates are updated accordingly
  • Maintain accurate and up to date agency pricing guides. Collaborate with all departments to develop and adjust pricing/estimates as needed. Provide insights to various personnel on profitable project types, service offerings, and types of businesses

Accounts Payable/Receivable

  • Create and communicate up-to-date AP/AR guidelines for the agency
  • Manage the timely and efficient distribution of client invoices
  • Maintain the latest client contracts and ensure proper compliance, per the agreed upon terms expressed in the contracts
  • Manage collection efforts when necessary on doubtful accounts
  • Establish and maintain relationships with client-side Accounts Payable team(s), and manage agency payments of liabilities effectively, maintaining adequate cash flow and positive relationships with vendors
  • Manage employee expense reports. Verify policies are complied with and reimbursement is distributed in a timely manner
  • Manage agency credit cards 
  • Work with brand/client managers to understand unique billing needs of each client and set-up billing systems according to requirements

Operating & Administrative

  • Maintains up-to-date payroll data and process payroll in compliance with the agency’s payroll schedule
  • Maintain and report to the partners the established employee raise metrics defined in various reporting packages
  • Manage the agency’s commercial insurance policies to be in compliance with the current needs of the agency and their clients
  • Work with Partners to manage the agency’s employee benefit policies to be in compliance with offerings expressed in the employee handbook
  • Collaborate with the operations department to ensure proper on boarding and off boarding procedures are executed
  • Meet quarterly with department heads to better understand unique needs of each team/client and identify opportunities to optimize financial processes to align with priorities
  • Enroll all participants and administer the 401K plan
  • Manage the computer inventory as efficiently as possible
  • Manage internal shipping and receiving processes
  • Manage various software license allocations and administration for the overall account, ensuring to communicate any updates to logins and passwords to Partners for continuity
  • Manage department level and overall agency culture account budgets
  • Manage travel policies and procedures are complied with for both agency and client travel

Experience & Qualities

  • Bachelor’s Degree in Finance or Accounting
  • 5+ years of experience in a controller, senior finance, or financial management role
  • Self-motivated and self-directed
  • Collaborative and thrives in a fast-paced environment
  • Trustworthy and manages confidential/sensitive information
  • A good balance of analytical and flexible in problem solving
  • Highly organized and excellent time management skills 
  • Strong communicator, able to adapt styles of communication for a variety of teams
  • Embraces change and empathetic to the needs of the larger agency
